Managers and Workday

Employees can designate a Delegate(s) who can complete certain business processes on their behalf using Workday delegations. Key points to keep in mind:

  • Delegations can be set up for a maximum of twelve months at a time.
  • Employees may delegate specific business processes or all business processes (their entire Inbox).
    • For Business Process. Only steps in the specific business process you select will route to your Delegate.
    • For all Business Processes. All business processes with steps that would route to you will route to your Delegate. It is not recommended to use this type of delegation as it allows Delegates to view ALL of your personal information including your benefits, job applications, leave, etc.
  • Only Inbox items can be delegated (initiation of processes cannot be delegated).
    • Remember, inboxes contain HR-related tasks that may contain sensitive personnel information.
  • Employees can “Retain Access to Delegated Tasks” to allow themselves or their Delegate to complete each task.
  • The delegation of an approval task does not absolve the Delegator of their responsibilities associated with the action/task.
  • Delegates begin receiving delegated tasks only when new transactions are initiated. Any business processes already in-flight will continue to flow to the Delegator.
  • Any delegated tasks will be recorded in the Process History with the words “On Behalf of”, followed by the name of the delegator.
  • When a Delegate terminates, the Delegator will receive a notification in Workday indicating the delegation is no longer valid and needs to be updated.
