Student Worker and Graduate Assistant Employment
On behalf of the entire organization, Human Resources and Organizational Effectiveness would like to extend a warm welcome as you prepare for your first day as a student worker or graduate assistant.
Please review the items below, which outline the communications you can expect and actions you will need to take to successfully onboard as a new employee of the university.
Emails to watch out for:
- Email from Sterling is our background check partner. You will receive an email from noreply@sterlingcheck.com. Please be on the lookout for this and remember to check your spam or junk folders.
Action Needed: Follow the directions in the email from Sterling to log into their online portal and fill out the required information, so your background check can be initiated.
Be aware: On the Sterling portal you may elect to receive a copy of the report and, if you do so, you will receive this from Sterling. If any issues arise as a result of your background check that may impact your eligibility for employment by Texas A&M University, you will receive a further communication from Sterling with directions on how to proceed. If you have any other queries about your background check, please contact onboarding@tamu.edu.
Be aware: You are unable to be hired, or to start work, until after your background check has cleared.
- Email from your Human Resources Hub Professional. This email will have a link to a Prospective-Hire Form hosted on a secure website. We appreciate your timely completion of this form. The email will come from your Human Resources Hub Professional’s email which will end with @tamu.edu. Please be on the lookout for this and check your spam or junk folder if it hasn’t arrived within 48 hours. If you have any queries about completing this form, please reply to your Human Resources Hub Professional at the same email address.
Action Needed: Follow the directions in the email from your Human Resources Hub Professional to fill out and submit the Prospective-Hire Form, so we have the information needed to set up your employee record.
- Email from Perfect Compliance. This email will have a link to perfectcompliance.com with a randomly generated log in name and a password that will be sent in a separate email, so that you can complete Section 1 of your I-9 form. I-9 forms are used to verify the identity and employment authorization of individuals hired for employment in the United States. The email will come from donotreply@www.perfectcompliance.com. Please be on the lookout for this and remember to check your spam or junk folder.
Action Needed: Follow the directions in the email and on the website to complete Section 1 of the Form I-9. This MUST be completed on or prior to your hire date. If you have any queries about completing Section 1 of your Form I-9 please contact onboarding@tamu.edu.
Be aware: You are unable to start work until after both Sections of your Form I-9 have been completed and you have been authorized to work.
- Email from your Human Resources Hub Professional. This email will contain joining instructions, location and parking information for onboarding, and instructions on what documentation to gather to complete your Form I-9 Section 2. This email is for your information to enable you to prepare for your onboarding day.
Onboarding Information
Student Workers
Student Workers onboarding will be conducted by the Human Resources Hub Professionals who support the college, school or division in which they work.
Student Workers’ start dates will coincide with the Common Hire Dates established by the university and Human Resources and Organizational Effectiveness.
Student Workers’ Onboarding appointments will be available in the days before their hire date.
Newly hired Student Workers will receive instructions from their Human Resources Hub Professional to book an appointment location and time to attend Onboarding.
Graduate Assistants (GAT, GAL, GAR, GANT)
Graduate Assistants onboarding will be conducted by the Onboarding team at a central location (typically at the General Services Center, 750 Agronomy Road, College Station).
Graduate Assistants’ start dates will coincide with the Common Hire Dates established by the university and Human Resources and Organizational Effectiveness.
Graduate Assistants’ Onboarding will take place on their hire date.
Newly hired Graduate Assistants will receive joining instructions from their Human Resources Hub Professional to attend Onboarding.
Graduate Assistants will receive an email including a link to a video with benefits information. At Onboarding Benefits Specialists will be available to answer queries.
Important Work Authorization Information for International Students
F-1 and J-1 students follow different rules to work in the U.S. For additional employment and internships information: Learn More
F-1 and J-1 students may only work up to 20 hours per week during the fall and spring semesters. If you work additional hours without proper authorization, you will violate your status.
- During summer semester or other break periods, you may be able to work more than 20 hours per week.

It is your responsibility to adhere to this restriction as well as to ensure your supervisor is aware of authorization to work no more than 20 hours per week during the fall and spring semesters.
