Annual Benefit Enrollment (Open Enrollment)

Open Enrollment 2018-2019 - Starts July 1 and ends July 31

Annual Benefit Enrollment (Open Enrollment), July 1–31, is the time for employees to review their benefits and consider any changes to make for the next plan year, effective September 1 each year.

Important Changes for FY2019:

  • The rates for your Medical, Dental, Vision plans for this upcoming year will remain the same as the previous year (with the exception of the graduate student plan).
  • Navia Benefit Solutions will be replacing Payflex as the Flexible Spending Account (FSA) provider.
  • The CHI St. Joseph and Texas A&M Health Network, also known as the Brazos Valley Network, is a new network tier within the A&M Care plan with a $5 copay for a primary care physician, $15 copay for specialists, and 10% coinsurance for physicians and facilities contracted with CHI St. Joseph and Texas A&M. All other coverage will be the same.
  • If you want to enroll in or increase your Optional or Dependent Life coverage, in most cases you must provide Evidence of Insurability (E of I). This year, you’ll choose your coverage and amount in Workday, but wait until August 1 to submit your E of I. Workday will send you a reminder to complete this process.
  • A hearing aid benefit has been added to the A&M Care Plans.
  • If you are a 9-11 month, full-time, monthly-paid benefit-eligible employee, your premiums will be prorated so that you pay for 12 months of premiums over 9 months. This means that you pay for 12 months of premiums by May 31. For individuals identified as meeting the criteria for this program, their open enrollment premiums in Workday will reflect the prorated monthly deduction amounts.
  • If you are adding a dependent during Open Enrollment in Workday, please select the Reason for Adding which most closely represents your situation.
  • Beginning September 1, the Health Assessment will be available through MyEvive, and will count towards your annual wellness exam credit. Get started early and create a MyEvive account!

Steps for Open Enrollment in Workday:

We recommend you attend one of the Benefit Fairs & Meetings prior to making your benefit selections.

  1. Once logged in to Workday, look for an Open Enrollment task in your in-box.
  2. Review/update your personal contact information.
  3. Review your beneficiary designations for your elected insurance plans and add them to designations if not currently showing in Workday.
  4. Review your dependent designations for your insurance plans and verify that the correct dependents are enrolled in the appropriate plans.
  5. Verify/update the Tobacco User Status for yourself and all covered dependents.
  6. Review Wellness Exam incentive completion status in MyEvive.
    • Beginning September 1, 2018, the Health Risk Assessment will be available through MyEvive, and will count towards your annual wellness exam credit. This means that you must complete the Health Assessment AND get your wellness exam to receive the wellness credit.  Get started early and create a MyEvive account!  
  7. Review and make appropriate changes to benefit selections.
    • After reviewing your coverage, if you are happy with your current benefit coverage and do not plan to make changes, no additional action is required other than you pressing the “Submit” button on your Open Enrollment event within Workday.
    • Your current coverage will carry on into the new benefit plan year with the exception – the Flexible Spending Account flexible spending account MUST be actively re-enrolled every year. This includes both the Health Care Spending Account and the Dependent Care Spending Account.
  8. Enroll or re-enroll in the Flexible Spending Account (FSA) – Starting September 1, 2018, we will have a new vendor called Navia and the Health Care maximum contribution limit has been increased to $2,650 for FY19 per the IRS guidelines (was previously $2,600). You will receive a new card to use for your next year’s elections.
    • Health Care FSA - Can be used for qualified medical, dental and vision products or services performed (i.e. co-pays, co-insurances) by medical professionals to diagnose, treat or prevent diseases for you and your family. May NOT be used for cosmetic purposes. Can be used for over the counter medications when there is an prescription on file for that item.
    • Dependent Care FSA - Elections are only for dependent children ages 13 and under and seniors (i.e. parents) living in your household for expenses such as daycare services and day camps etc. Dependent FSA limit remains at $5,000 per the IRS guidelines.
    • If you wish to continue a flexible spending account, you must enroll each year.
    • You will have until November 15, 2018 to exhaust your current balance with our previous provider, Payflex and will be allowed to continue to use your Payflex card until this date.
    • Confirm your current FSA card status - Please ensure that your card is still active and that you do not owe Payflex any outstanding receipts. You can do this by going to payflex.com and logging onto your account. If you have any questions about your Payflex card please contact them directly at 1(844) PAY-FLEX OR 1 (844) 729-3539.

New Hires Critical Instructions for Open Enrollment:

All new hires are receiving an Open Enrollment event in Workday PRIOR to their new hire event. DO NOT complete your Open Enrollment event FIRST or you will have an Benefits enrollment error. Please follow the steps below

  • Complete your Benefits Onboarding questions.
  • Complete any and all outstanding Workday inbox items.
  • Complete your Benefit enrollment event.
    • If you want your benefits to start once the State Group Insurance Premium is credited to you on the first of the month following your first 60 days of hire, your benefit effective date will be as follows:
      • If you were hired on June 3 through July 3, your benefit effective date will be on September 1, 2018. – You will need to complete the Open Enrollment event in your Workday inbox. Workday will automatically enroll you in the correct effective date.
      • If you were hired on July 4 – August 2, your benefit effective date will be on October 1, 2018. – You do not need to complete the Open Enrollment Event in your Workday inbox because Workday will automatically cancel it once you have completed your new hire benefit elections.
