SENIOR DOCUMENT IMAGING SPECIALIST

SUMMARY

General Description:  Provide advanced skills in office support duties and may coordinate activities of support staff. Coordinate the preparations of Admissions related documents for intra-departmental and external routing (entities include academic colleges, academic departments, administrative departments, external entities to the university).

DUTIES

Typical:  Responsible for the hiring and supervision of document imaging specialist staff, to include evaluation of performance and approval of timesheet and leave documents. Coordinate activities of and assigns work to other office support staff. Supervise workflow of document imaging specialists, report progress and/or problems to management and ensure quality of work in document management operations. Responsible for training new full-time staff members. May supervise student workers and temporary personnel. Use initiative in facilitating daily office support activities. Perform advanced word processing, desktop publishing, presentation and data management activities and assists staff with the use of these applications; May assist with the preparation of daily status/statistical analysis reports for distribution to management. Work with Information Technology unit to conduct and maintain document cleaner activities. Test changes to the DIWS before implementation. Oversee and coordinate records retention projects. Provide technical information regarding administrative procedures, services or programs. Use Document Imaging Workflow System (DIWS) and Student Information Management System (SIMS) to process Admissions applications and other admissions related documents. Participate in maintaining the DIWS and in the retrieval and storage of documents as part of the official records retention requirements. May oversee the scanning and validation of all admissions documents. May oversee the review of computerized imaging indexes of documents to ensure accuracy and conformance to accepted standards and quality for the Imaging System. May oversee the daily mail operations of all admissions-related documents. Demonstrate creative problem solving skills and continuous effort to improve operations, decrease turnaround times, stream-line work processes and work collaboratively to provide quality and seamless service to customers. Answer general office email and assists with walk-in traffic and telephone inquires. Respondsto higher level requests for information and handles special circumstances and inquiries. Handle, oversee, and/or coordinate special projects as assigned by supervisor. Prepare Admissions related documents for intra-departmental and external routing (entities include academic colleges, academic departments, administrative departments, external entities to the university). Perform related duties as required.

SUPERVISION

Received:  General instruction and occasional review from administrative supervisor.
Given:  May give detailed instruction and frequent review of support staff and/or Student Workers.

EDUCATION AND EXPERIENCE

Required:  High school graduate or any equivalent combination of training and experience. Five years of experience in general office or clerical work.
Preferred:  Associate Degree. Five (5) years of experience in general office or clerical support, preferably within TAMU, to include three (3) years of experience in an admissions and/or document imaging related environment. Supervisory experience. Prefer experience using a computer and scanner.

Typical:  Use of standard office and computing equipment.

KNOWLEDGE, ABILITIES AND SKILLS

Typical:  Must be able to work extended hours during peak times as necessary. Working knowledge of word processing software programs. Attentive to details and able to interpret information with accuracy. Ability to multi-task and work cooperatively with others.
