SUMMARY

General Description:  Prepares admissions-related documents for intradepartmental and external routing (entities include academic colleges, academic departments, administrative departments, external entities to the university). Provides advanced skills in office support duties.

DUTIES

Typical:  May analyze subject matter of documents to ensure accurate indexing for the DIWS. May approve the quality and accuracy of documents stored in the Imaging System and may perform corrections. May perform image manipulation functions. May validate documents for release into the DIWS. Maintain and utilize appropriate logs for all imaging work. May assist in the oversight of daily mail operations of admissions related documents. Work collaboratively with Admissions Processing staff to improve operations, decrease turnaround times, streamline work processes and provide quality seamless service to applicants. Oversee and coordinate records retention projects. Assist with training new full-time staff members. May oversee work of other staff and the daily flow of work. Perform advanced word processing, desktop publishing, presentation and data management activities and assists staff with the use of these applications. Assist in problem solving for office activities; Help train and advise other office support personnel. Provide general information regarding administrative procedures and processes. May supervise student workers and temporary personnel. Ensure completeness and accuracy of documents; verifies, processes and reviews forms, reports and other documents. Use Document Imaging Workflow System (DIWS) and Student Information Management System (SIMS) to process Admissions applications and other admissions related documents. Participate in maintaining the DIWS and in the retrieval and storage of documents as part of the official records retention requirements. May scan all admissions documents and conducts review of computerized imaging indexes of documents to ensure accuracy and conformance to accepted standards and quality for the Imaging System. Demonstrate creative problem solving skills and continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality and seamless service to customers. Handle special projects as assigned by supervisor. Assist with training of temporary staff during peak seasons. May assist with large mailout of admission letters to prospective students as needed. May assist with batching of documents for storage and retention. Prepare Admissions related documents for intra-departmental and external routing (entities include academic colleges, academic departments, administrative departments, external entities to the university). Answers general office email and assists with walk-in traffic and telephone inquires. Perform related duties as required.

SUPERVISION

Received:  General instruction and occasional review from administrative supervisor.
Given:  May give detailed initial instruction and frequent review of support staff and/or Student Workers.

EDUCATION AND EXPERIENCE

Required:  High school graduation or any equivalent combination of training and experience. Three years of experience in general office or clerical work.
Preferred:  Associate Degree. Four (4) years of experience in general office or clerical support, preferably within TAMU, to include two (2) years of experience in an admissions and/or document imaging related environment. Prefer experience using a computer and scanner

EQUIPMENT

Typical:  Use of computing and standard office equipment.

KNOWLEDGE, ABILITIES AND SKILLS

Typical:  Working knowledge of word processing software programs. Attentive to details and able to interpret information with accuracy. Ability to multi-task and work cooperatively with others.
