DOCUMENT IMAGING SPECIALIST I

SUMMARY

General Description:  Provides office support duties. Opens mail and prepares admissions-related documents for intradepartmental and external routing (entities include academic colleges, academic departments, administrative departments, external entities to the university).

DUTIES

Typical:  Open, sort, and prepare large volumes of mail for distribution to appropriate personnel. Use Document Imaging Workflow System (DIWS) and Student Information Management System (SIMS) to process Admissions applications and other admissions related documents. Participate in maintaining the DIWS and in the retrieval and storage of documents as part of the official records retention requirements. Conduct namesearches and assigns UIN's. Demonstrate creative problem solving skills and continuous effort to improve operations, decrease turnaround times, stream-line work processes and work collaboratively to provide quality and seamless service to customers. Handle special projects as assigned. Assist with training of temporary staff during peak seasons. Assist with large mailouts of admissions letters to prospective students as needed. Assist with batching of documents for storage and retention. May assist with courier runs across campus and to off campus storage locations, vendors, etc. Answer general office email, assist with walk-in traffic and telephone inquires. Prepare Admissions related documents for intradepartmental and external routing (entities include academic colleges, academic departments, administrative departments and external entities to the university). Perform related duties as required.

SUPERVISION

Received:  Detailed initial instruction and frequent review from administrative supervisor.
Given:  None.

EDUCATION AND EXPERIENCE

Required:  High school graduation or any equivalent combination of training and experience.
Preferred:  Two (2) years of experience in general office or clerical support, preferably within TAMU. At least one (1) year of experience in an Admissions and/or document imaging related environment. Prefer experience using computers and scanners.

EQUIPMENT

Typical:  Use of computing and standard office equipment

KNOWLEDGE, ABILITIES AND SKILLS

Typical:  Working knowledge of word processing software programs. Attentive to details and able to interpret information with accuracy. Ability to multi-task and work cooperatively with others.
