RECORDS MANAGEMENT TECHNICIAN II

SUMMARY

General Description:  Performs records management, mail distribution, and file management functions.

DUTIES

Typical:  Creates, maintains, & organizes files and records; maintains file-tracking system; manages office imaging system and active files to include color coding and indexing; serves as records retention coordinator for suite; ensures compliance with Texas A& M University System records retention schedule; oversees proper destruction and/or transfer of documents; oversees imaging label making, and faxing; supervises student workers; oversees document management/imaging environment; analyzes record keeping problems and offers solutions/guidance by developing and implementing plans to rectify record system deficiencies in coordination with supervisor and TAMU Records Management; collects, sorts, and distributes incoming and outgoing mail and faxes; maintains supply/storage room; performs related duties as required.

SUPERVISION

Received:  Instruction and review from immediate supervisor.
Given:  Supervises student workers.

EDUCATION AND EXPERIENCE

Required:  High school graduation or any equivalent combination of training and experience. One year as a Records Management Technician I or two years in a general office setting and supervisory experience.
Preferred:  Associate’s degree or equivalent. Records Management experience or similar setting. Previous Texas A&M University experience.

Required:  None.
Preferred:  None.

EQUIPMENT

Typical:  Use of personal computers.

KNOWLEDGE, ABILITIES AND SKILLS

Typical:  Keyboarding skills. Ability to provide excellent customer service and good organizational skills. Ability to comprehend complex & demanding filing systems. Working knowledge of word processing and spreadsheet applications. Working knowledge of databases TabQuick, records retention schedules, and filing is preferred.
