EXECUTIVE SECRETARY

SUMMARY
General Description: Performs highly technical, responsible, and confidential executive secretarial and clerical duties without recourse to a supervisor and directly supervises clerical employees.
DUTIES
Typical: Performs advanced administrative duties in support of one or more professional staff members; supervises and coordinates clerical activities; acts as office manager; directly supervises the work of a clerical staff and advises subordinates on operational procedures, methods, and policy matters; keeps administrative, fiscal, and academic records, and prepares complex, technical, and confidential reports; transcribes, proofreads, corrects, and produces in final form, letters, manuscripts, reports, and tables; confers with and advises professional staff concerning clerical performance standards and other operating problems; assists professional staff on microcomputer applications such as word processing, spreadsheet, and data management; advises students, administrators, and employees regarding administrative or academic policies and procedures; processes confidential matters and either resolves or refers questions to appropriate personnel in the absence of the supervisor; makes travel arrangements and prepares itineraries; prepares agenda and compiles data for meetings; reads incoming mail, composes answers to letters, and routes mail not requiring supervisor's attention to proper officials; approves and signs requisitions, vouchers, and other forms for supervisor; directs the filing of materials; performs related duties as required.
SUPERVISION
Received: General instruction and occasional review of overall execution of assigned functions from supervisor.
Given: Detailed initial instruction and frequent review of clerical staff.
EDUCATION AND EXPERIENCE
Required: High school graduation or any equivalent combination of training and experience. Seven years in secretarial or clerical work, including supervisory experience.
Preferred: Bachelor's degree. Six or more years in secretarial work within the Texas A&M University System.
LICENSES, CERTIFICATES OR REGISTRATION
Required: None.
Preferred: Certified Professional Secretary (CPS) certification.
EQUIPMENT
Typical: Use of standard office equipment.
