ADMINISTRATIVE SECRETARY

SUMMARY
General Description: Performs expert secretarial and clerical duties in advanced and complex office work with little supervision; may supervise Student Workers or other clerical staff.
DUTIES
Typical: Uses initiative and judgment to relieve one or more administrators of many routine and administrative matters; may direct and supervise office activities; may directly supervise the work of Student Workers or other clerical staff; keeps administrative, fiscal, and academic records; makes budget recommendations and prepares complex, technical and confidential reports; places supply orders and maintains inventory; advises students, administrators, and employees regarding administrative or academic policies and procedures; assists professional staff on microcomputer applications such as word processing, spreadsheets and data management; resolves or refers questions to appropriate personnel; prepares agenda and compiles data for meetings, coordinates travel arrangements and prepares itineraries; composes answers to letters; may approve and sign requisitions, vouchers and other forms for the supervisor; transcribes, proofreads, corrects and produces in final form letters, forms, manuscripts, flyers and brochures, reports, and tables; operates typewriter, word processor, or microcomputer; performs related duties as required.
SUPERVISION
Received: Broad instructions concerning policies and procedures, some detailed instructions on extremely complex tasks, and occasional review by administrative supervisor.
Given: Detailed instruction and frequent review of Student Workers or other clerical staff.
EDUCATION AND EXPERIENCE
Required: High school graduation or any equivalent combination of training and experience. Four years in secretarial or clerical work.
Preferred: Associate degree. Three or more years in secretarial work within the Texas A&M University System.
LICENSES, CERTIFICATES OR REGISTRATION
Required: None.
Preferred: Certified Professional Secretary (CPS) certification.
EQUIPMENT
Typical: Use of standard office equipment.

Typical: Keyboarding skills.
