SENIOR SECRETARY

SUMMARY
General Description: Performs advanced secretarial duties and handles routine operational details through responsible office management.
DUTIES
Typical: Performs standard administrative duties in support of one or more professional staff members; may directly supervise the work of Student Workers or other clerical staff; coordinates clerical and fiscal activities within a department; helps train, advise, and evaluate other clerical personnel located within the same organizational unit; transcribes, proofreads, corrects, and produces in final form, letters, forms, manuscripts, flyers or brochures, reports, and tables; places supply orders and maintains inventory; assists in developing work standards and procedures and in problem solving for office activities; assists professional staff with microcomputer applications such as word processing, spreadsheet, and data management; advises students, administrators, and employees regarding administrative or academic policies and procedures; composes letters and reports; checks documents for completeness and accuracy; may post to and evaluate transcripts, degree plans, and academic records; makes appointments and travel arrangements and prepares itineraries; answers telephone, opens and reads mail, and acts as a receptionist for supervisor; maintains a wide variety of complex academic, fiscal, personnel, and administrative records, accounts, and files consisting of official and confidential matters; operates typewriter, word processor, or microcomputer; performs related duties as required.
SUPERVISION
Received: General instruction and occasional review from administrative supervisor.
Given: Detailed initial instruction and frequent review of Student Workers or other clerical staff.
EDUCATION AND EXPERIENCE
Required: High school graduation or any equivalent combination of training and experience. Two years in secretarial or clerical work.
Preferred: One or more years in secretarial work within The Texas A&M University System, including supervisory experience.
LICENSES, CERTIFICATES OR REGISTRATION
Required: None.
Preferred: Certified Professional Secretary (CPS) certification.
EQUIPMENT
Typical: Use of standard office equipment.

Typical: Keyboarding skills.
