Hiring Checklist for Documents in PATH

The following table shows the required Hiring Documents for Staff, Wage, and Other Postings for Texas A&M University (TAMU) and Galveston and Qatar branch campus positions as well as where the document is maintained. The position file is maintained online in PATH for all postings in which a single PIN is being filled (see below). A hard copy position file is necessary for all Wage postings and multiple PIN Staff/Other postings (see below). These postings will have no uploaded documents. See the updated Records Retention Checklist for Employment Files.

Single PIN Postings

To upload documents, the Posting must be in the status of On Hold/Can Add Documentation. The HR Liaison uploads documents to the Hiring Checklist Document tab in the Posting or sends as noted on the chart below. All status changes for applicants must have been made and the selected applicant placed in the status of Recommended for Hire.

The Posting is then transitioned by the HR Liaison to Documentation Complete (move to Documentation Complete) for final HR processing. All required documents must have been uploaded or received and applicant status changes must have been made for HR to transition the Recommended for Hire applicant to the final status of Hired and the Posting to Filled.

Multi PIN Staff/Other and Wage Postings

All required documents must have been received by HR as noted and applicant status changes must have been made for HR to transition the Recommended for Hire applicant to the final status of Hired. For multiple applicant hires, HR will use the submitted documents to check the applicant status. Once you have selected all applicants for the posting and made your final applicant Recommended for Hire, transition the Posting to HR as Documentation Complete. Use the status transition box to notify HR the last applicant has been Recommended for Hire on the Posting.
