Cancel a Posting

If the posting is being canceled AND interviews were conducted:

  1. Status all applicants with the reason they were not selected:
    • You will have one group of candidates that were not selected from the beginning. They will be statused as "Not Selected", and the reason they were not selected
    • The second group will be the group that was interviewed. These applicants need to be moved through the appropriate workflow – "Selected for Interview" then "Interviewed, Not Selected"
  2. Upload the Hiring Matrix, Interview Documentation and Reference Documentation, if applicable.
  3. Request cancel by selecting "Request Cancel" from the orange Take Action on Posting button.

If the posting is being canceled due to a failed search without having conducted interviews:

  1. Status the applicants as "Not Selected", "No suitable candidates in current pool".
  2. Request cancel by selecting "Request Cancel" from the orange Take Action on Posting button.

If the posting is being canceled for any other reason (e.g. PD needs to be updated, position is no longer needed, etc.) but there are applicants that have applied:

  1. Status the applicants using "Position Canceled".
  2. Request cancel by selecting "Request Cancel" from the orange Take Action on Posting button.

If the posting is being canceled for any other reason (e.g. PD needs to be updated, position is no longer needed, etc.) but no applicants have applied:

Request cancel by selecting "Request Cancel" from the orange Take Action on Posting button.


When selecting the "Request Cancel" option for any of the reasons above, please make notes in the transition box to notify HR of the reason you are requesting that the posting be canceled.

If your posting happens to fall somewhere between these reasons, or you are unsure of which situation you fall into, please contact Recruitment and Workforce Planning at (979) 845-5154. Making the appropriate status selection the first time is crucial to communicating effectively with your applicants. For many of the statuses you select, an email is automatically generated to the applicant as soon as you select that status. Therefore, if you choose incorrectly and we must go backward in the process, your applicants will receive multiple emails with different reasons for their not being selected.
